Privacy Policy

This Privacy Policy explains how Sports EyeQ (“Sports EyeQ,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use our websites, the Basketball Business System, and related applications and services (collectively, the “Services”). By using the Services, you agree to this Privacy Policy. If you do not agree, do not use the Services.

1. Who we are

Sports EyeQ provides the Basketball Business System and related tools for college basketball programs. Contact us at Support@sportseyeq.com or 484-254-6282. Our website is www.sportseyeq.com.

2. Scope

This Privacy Policy applies to:

  • visitors to our marketing websites;
  • individuals who create accounts or are invited into a Program workspace;
  • Authorized Users of the Basketball Business System; and
  • people who contact us by email, phone, calendar booking, or lead/contact forms.

This Policy does not cover third-party websites or services that may link to or integrate with the Services. Those are governed by their own privacy policies.

Our Terms of Service also apply to use of the Services and are incorporated by reference where relevant.

3. Information we collect

We collect information in the following categories.

3.1 Account and identity information

When you create or join a Program, we may collect:

  • name and email address;
  • authentication credentials and session data;
  • role within a Program (such as Head Coach, Admin, Coach, Scout, or Viewer);
  • organization or Program name and related workspace settings; and
  • invite-code and membership activity associated with your account.

3.2 Customer Data submitted through the Services

Programs and their Authorized Users may enter information into the Basketball Business System, including but not limited to:

  • prospect and roster player profiles (for example, name, school, class year, position, contact details if provided);
  • evaluations, notes, grades, priorities, and recruiting outcomes;
  • financial and business inputs used for budgeting, cost modeling, or related KPIs; and
  • other content uploaded or typed into the Services.

We process this Customer Data to provide the Services to the Customer. As between Sports EyeQ and the Customer, the Customer controls Customer Data. See Section 6.

3.3 Billing and payment information

If a Program purchases a subscription, payment is processed by our third-party payment provider (currently Stripe). We may receive and store billing-related information such as subscription status, seat limits, customer identifiers, invoices, and payment status. We do not store full payment card numbers on our servers; card details are handled by the payment provider.

3.4 Marketing and sales inquiries

If you book a conversation, email sales, call us, or submit a contact or lead form, we may collect your name, email, phone number, school or organization, role, and the content of your message. We use this information to respond to inquiries and manage sales outreach.

3.5 Device, usage, and technical information

We may automatically collect:

  • IP address, browser type, device type, and operating system;
  • pages or screens viewed, approximate timestamps, and referring URLs;
  • app usage and diagnostic logs needed to operate, secure, and improve the Services; and
  • information related to local/offline sync caches used by the application (for example, PowerSync-related local data needed to keep a Program’s workspace available on a device).

3.6 Communications

If you communicate with us by email or phone, we may retain those communications and related metadata to provide support and maintain records.

4. How we use information

We use information to:

  • provide, operate, maintain, and improve the Services;
  • authenticate users and manage Program membership and roles;
  • process subscriptions, invoices, and payments;
  • respond to support and sales requests;
  • send service-related notices (for example, account, security, or billing messages);
  • monitor for fraud, abuse, and security incidents;
  • analyze aggregated usage to improve product performance and reliability;
  • comply with law and enforce our Terms; and
  • with appropriate notice or consent where required, send limited product or marketing communications. You may opt out of marketing emails as described in Section 11.

We do not sell personal information. We do not use Customer Data to make recruiting or admissions decisions for any institution; decision-making remains with the Customer and its staff.

5. How we share information

We may share information in these circumstances:

  • Within a Program. Customer Data and account activity are visible to other Authorized Users of that Program according to role and permissions configured by the Customer.
  • Service providers. We use vendors that help us host, sync, authenticate, process payments, send email, schedule meetings, and operate the Services (for example, cloud hosting/database providers, authentication and sync infrastructure, Stripe, email delivery, and scheduling tools). These providers may process information only as needed to perform services for us and under contractual obligations.
  • Legal and safety. We may disclose information if required by law, legal process, or government request, or if we believe disclosure is necessary to protect rights, safety, or security.
  • Business transfers. If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.
  • With consent. We may share information when you or the Customer directs us to do so.

We do not share Customer Data with other college programs for their independent recruiting use, and we do not sell prospect lists.

6. Customer Data and program responsibility

The Basketball Business System is a B2B workspace. The Customer (typically a college program or athletic organization) decides what information to enter, who may access it, and how long it should remain available within the Program.

Customers and Authorized Users are responsible for:

  • ensuring they have the right to submit personal information about prospects, student-athletes, staff, or others;
  • complying with institutional policy, applicable privacy laws, and NCAA or other governing-body requirements; and
  • managing access for staff who join or leave the Program.

If you are a prospect, student-athlete, parent, or other individual whose information was entered by a college program, please contact that program first. We may assist the Customer with access, correction, or deletion requests related to Customer Data when required and when we can verify the request.

7. Cookies and similar technologies

Our websites and Services may use cookies, local storage, and similar technologies to keep you signed in, remember preferences, protect security, and understand how the Services are used.

You can control cookies through your browser settings. Disabling certain cookies or local storage may limit functionality, especially for authentication, session persistence, or offline/local sync features.

Third-party tools we use (such as payment, scheduling, or analytics providers, if enabled) may set their own cookies or similar technologies subject to their policies.

8. Data retention

We retain information for as long as needed to provide the Services, maintain Program workspaces, meet legal and accounting obligations, resolve disputes, and enforce our agreements.

  • Account and billing records are generally retained for the life of the account relationship and for a reasonable period afterward as required for tax, audit, or legal purposes.
  • Customer Data is retained while the Program subscription or workspace remains active, and for a reasonable period after termination for backup, recovery, or legal requirements, after which it may be deleted or anonymized.
  • Support and inquiry records are retained as needed to complete the request and maintain business records.

Customers who need data export or deletion after cancellation should contact Support@sportseyeq.com.

9. Security

We use administrative, technical, and organizational measures designed to protect information, including access controls, encrypted connections where appropriate, and infrastructure provided by reputable cloud vendors. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

You are responsible for safeguarding login credentials, invite codes, and devices that store local/offline copies of Program data.

10. Children’s privacy

The Services are designed for college program staff and related professional users. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Customer Data may include information about high-school or college-age prospects entered by Authorized Users. That information is submitted under the Customer’s direction and responsibility. If you believe we have collected information from a child under 13 in a manner inconsistent with this Policy, contact us and we will take appropriate steps.

11. Your choices and rights

Depending on your role and applicable law, you may have rights to:

  • access, correct, or update certain personal information;
  • request deletion of certain personal information;
  • opt out of marketing emails; and
  • request information about how we process personal information.

Account users can often update profile information within the Services or by contacting support. Program admins control membership and much of the Customer Data inside the Program.

To exercise a privacy request, email Support@sportseyeq.com with enough detail for us to verify your identity and locate the relevant records. We may need to coordinate with the Customer for requests involving Customer Data.

Marketing emails, when sent, include an unsubscribe option. Service and billing notices are not marketing and may continue while you have an account.

If you are a California resident or reside in another jurisdiction with specific privacy rights, you may have additional rights under applicable law. Contact us to make a request. We will not discriminate against you for exercising rights available under law.

12. International users

The Services are operated from the United States. If you access the Services from outside the United States, you understand that information may be processed and stored in the United States and other locations where we or our service providers operate. Those locations may have data-protection laws different from those in your jurisdiction.

13. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page and post the updated Policy on our website or within the Services. If changes are material, we will provide additional notice where appropriate. Continued use of the Services after the effective date of an updated Policy constitutes acceptance of the changes.
